Payment terms

These terms apply where a madrassa uses Makatib.App to invoice families and collect fees. They sit alongside the terms of service and do not replace them. If you are a parent, the short version is in section 6.
1. Who you are paying
The madrassa is the merchant. It sets its own fees, decides who pays what, issues the invoices and receives the money. Project Paced Ltd provides the software that records all of this and passes a payment instruction to the payment provider. We are not a party to the arrangement between a madrassa and a family.
Project Paced Ltd never holds client money. Payments made through the portal go from the payer directly to the madrassa’s own account with our payment provider, Stripe, and settle to the madrassa’s bank account. At no point does the money pass through an account belonging to us. We are not a payment institution, an e-money institution or a money transmitter, and we do not act as an agent for collection.
We take no share of a fee. Makatib.App charges the madrassa nothing on payments collected through the service. Stripe charges the madrassa its own processing fee, which is deducted before settlement and is a matter between the madrassa and Stripe.
2. The madrassa’s responsibilities
- Opening and maintaining its own Stripe account, completing Stripe’s identity and business verification, and complying with Stripe’s Connected Account Agreement. We cannot complete that verification on a madrassa’s behalf.
- Setting fees lawfully and communicating them clearly to families, including what happens if a fee is not paid.
- Handling refunds, credits, hardship arrangements and any dispute about whether a fee is owed. These are decisions only the madrassa can make.
- Dealing with chargebacks and payment disputes, including any fee Stripe charges for them. Liability for a disputed payment rests with the madrassa as merchant.
- Its own tax position. Fees charged by a madrassa are the madrassa’s income. We do not calculate, collect or remit VAT or any other tax, and no figure shown in the service should be treated as tax advice or as a tax-inclusive amount we stand behind.
- Keeping its own accounting records. The service keeps an invoice and payment ledger, but it is a record of what happened in the app, not a substitute for the madrassa’s books.
3. Gift Aid
Fees charged for a place at a madrassa are payment for a service, not a donation, and are not eligible for Gift Aid even where the madrassa is a registered charity. Only genuinely voluntary donations, given with nothing expected in return, can be. Makatib.App deliberately provides no Gift Aid option on fees. A madrassa that also takes voluntary donations should handle those separately and take its own advice.
4. What we are responsible for
We are responsible for the software: recording invoices and payments accurately, keeping the records secure and available, and passing payment instructions to Stripe correctly. We are not responsible for the availability of Stripe, for a bank declining a payment, or for a madrassa’s decisions about who to charge and how much.
Where a payment reaches Stripe but our records do not reflect it, tell us and we will investigate and correct the record. Stripe’s own record is the authority on what money moved.
5. Direct Debit
The first release offers one-time Bacs Direct Debit through Stripe-hosted Checkout; it does not store a reusable mandate or collect later payments automatically. Stripe collects the payer's bank details, displays the mandate wording and sends the required Bacs scheme notices in live mode. The Direct Debit Guarantee applies, including the bank refund right for an error. Bacs is delayed and can fail or be recalled several working days after submission; the invoice remains or returns outstanding until settlement is confirmed.
6. If you are a parent
- You are paying your madrassa, not Makatib.App. We never receive your money.
- Your card or bank details are entered on Stripe’s payment page and are never sent to us or stored by us.
- Questions about what you have been charged, a refund, or a hardship arrangement go to your madrassa. They can adjust or waive a fee; we cannot.
- If something looks wrong in the app itself, tell your madrassa and they can raise it with us.
- Your madrassa’s teachers can see whether a fee is outstanding for a student so they know when to point a family towards the office. They cannot see amounts, dates or payment history, and a student on a waiver or reduced rate shows to a teacher exactly as a fully paid one does.
7. Changes and contact
We will update this page if how payments work changes, and madrassa administrators will be told of material changes by email or in the app. Questions: info@makatib.app.
