About Makatib.App
What is Makatib.App?
Makatib.App is class management built for evening madrassas: attendance, tasks, teacher–parent messaging and (the part generic class apps miss) real Quran progress tracking across Qaida, Nazra and Hifz.
Makātib (مكاتب) is the plural of maktab, the traditional Quran school. The app is built for the madrassa, not adapted for it.
Who is it for?
Three roles, one app: management run the madrassa (classes, students, teachers, announcements), teachers take the register and log progress mid-class, and parents see attendance, tasks and Quran progress for their own children the moment it happens.
How does the Quran progress tracking work?
Each student follows a track the way it's actually taught. Qaida tracks book and lesson position; Nazra tracks Surah, Juz and page through the Mushaf; Hifz runs three streams: Sabaq (new lesson), Sabqi (recent revision) and Manzil (long-term revision), each logged per session with a quality rating.
Sensible defaults are built in, and madrassas can upload their own teaching framework by CSV. Other subjects (Fiqh, Seerah and more) can be tracked alongside the Quran path.
Do I need to install anything? Does it work on phones?
No app store needed. Makatib.App is a web app that works on any phone, tablet or computer, and it's installable to your home screen as a PWA. Teachers' screens are built mobile-first, designed for one hand, mid-class.
The beta
How do I join the beta?
Register your interest with the short form on the beta page; it takes about two minutes. We're onboarding a small group of founding madrassas personally and will reply by email to get you set up.
What does the free beta include?
Everything: the register with automatic absence alerts to guardians, tasks, Quran progress logging, multi-subject syllabi, two-way messaging, the parent portal, and fee collection. There's no charge, no card and no feature gates during the beta.
Will Makatib.App stay free after launch?
No, we want to be straight about this. Makatib.App is free while in beta, but it will become a paid product at full launch so we can keep building and supporting it properly.
Beta madrassas get advance notice before anything changes, plus founding terms in recognition of helping shape the product. You'll never be silently moved onto a paid plan.
What happens to our data when the beta ends?
Your data stays yours. If you continue after launch, everything carries over. If you decide not to, we'll offer an export of your records before anything is removed.
Data & safeguarding
How is my students' data protected?
Student records are entered and controlled by your madrassa, and every record is scoped to your madrassa alone, enforced at the database level, not just in the interface. Data is processed under UK GDPR and the Data Protection Act 2018.

Who can see a child's information?
Madrassa staff can see students in their own madrassa. Parents and guardians see only the children linked to their own account, never anyone else's. Messaging is private between a guardian and their child's teacher; management can send announcements.
Fees are tighter still. Only management sees amounts, invoices and payment history. Teachers see whether a student has something outstanding, so they know when to point a family towards the office, and nothing more: no figures, no dates, no history. A family on a hardship waiver looks exactly like a fully paid one to a teacher.
Fees & payments
Can we collect fees through Makatib.App?
Yes. Set your amounts and how often they are charged, by year group, class or individual student, and the app issues the invoices and shows parents what they owe in the portal.
You can record cash, bank transfers and cheques alongside online payments, so the ledger reflects everything a madrassa actually collects rather than only the part that came through a card reader.
Does Makatib.App take a cut of our fees?
No. We take nothing from fees you collect, and the money never passes through us. Your madrassa holds its own Stripe account, so payments go straight from the parent to your bank. Stripe charges its own processing fee, which is between you and Stripe.
This is also why we can be relaxed about it: fee collection is there to make the software more useful to you, not to become a revenue line for us.
Can we do sibling discounts and hardship waivers?
Yes. Set a sibling ladder once, for example 25% off from the second child, and it applies automatically. Children are ranked within a household by enrolment date, so a family's discount does not shift when a younger sibling joins, and you can cap what any one household pays.
Hardship waivers and individually agreed rates are set per student for a date range. The reason you record is only ever visible to your management team.
What happens when a fee is not paid?
Parents get a reminder before the due date and again once it has passed, and management sees what is outstanding at a glance.
There is no late payment charge, and we have not built one. Many madrassas regard a penalty for late payment as too close to interest, and a reminder plus a quiet conversation tends to work better anyway.
Can we claim Gift Aid on fees?
No, and this catches charities out. A fee is payment for a service, so it is not eligible for Gift Aid even if your madrassa is a registered charity. Only genuinely voluntary donations, given with nothing expected in return, can be.
We deliberately do not offer a Gift Aid option on fees. If you also take donations, handle those separately and take your own advice.
