Running exams & publishing results
The exams workspace takes a sitting from setup to a formal report without passing marks around in spreadsheets. Management defines the assessment, teachers sign off their own subjects, and parents see results only after management has reviewed and published them.
Before the first sitting
- In Admin → Exams → Grading schemas, create the grade bands your madrassa uses. Each band has a label, a minimum percentage and an optional descriptor.
- Open Templates and choose the Quran pathways, subjects and maximum marks to assess. You can add exam-only items such as Tajweed, fluency or makharij, and limit an item to the relevant Quran pathway.
- Decide whether the parent report should show an exact class ranking. Only fully assessed students are eligible for a rank.
Editing a template affects future sittings only. An existing sitting keeps the version it was created with, preserving the assessment record.
Create and open an exam sitting
In Exam sittings, choose a template and academic term, name the examination, add the assessment dates and results deadline, then select the classes taking part. Check the class and subject setup before choosing Open marking.
If several teachers share a class, management assigns responsibility for each assessment area. When a class has one teacher, responsibility is assigned automatically. A sitting created by mistake can be cancelled with a reason before any report has been published.
Mark and sign off a subject
Teachers work in Teaching → Exams. For every student, choose Scored, Absent or Exempt. Scored results need a mark within the subject maximum; a short subject comment and an overall student comment can add achievement and next-step context.
- Use Save draft while results are still being checked.
- Choose Submit only after every result in that subject has a complete status and valid score.
- Submitted subjects lock independently. The class moves to management review when every subject has been signed off.
The deadline is a visible coordination date rather than an automatic cutoff: overdue work remains available so it can still be completed properly.
Review before parents see anything
Management sees the class results together and can open an unpublished report proof for each student. Check assessment statuses, totals, grades, comments, attendance and ranking. If something needs correction, return either one subject or the class with a reason; the relevant teacher can then correct and resubmit it.
Publish the formal reports
Once every result has a status, add an optional shared admin message and signatory, then choose Publish class reports. Linked parents receive the result in their portal and notifications, where they can open the official report and print or save it as a PDF.
A published report is retained as an immutable version for audit. If a correction is needed later, open a correction draft and publish a new revision. Reports can also be withdrawn from parent access with a recorded reason.
What appears on the report
- Student, class, year group, term and examination dates.
- Marks, percentages, grades and teacher comments for each assessment area.
- Overall total and grade, plus class rank when enabled and eligible.
- Attendance across the examination period and the teacher's overall reflection.
- The madrassa's message, signatory and logo where one has been added.
